Welcome to Gigorama™ Online User Help Guide

INTRODUCTION

Getting to know Gigorama™
It should be duly noted that Gigorama™ software is ideal for both bands and independent musicians. First, let’s look at the main interface, which is built around a simple calendar format. You will notice that not only as you access the main calendar you can also view other priority data i.e. monthly and year to date earnings at a glance without demanding any effort on the user’s part what so ever. Immediately a musician can view three levels of his or her net earnings. The column to the far right of the main calendar displays per gig or immediate earnings each time a new gig is booked. At the base of this column are displayed the total earnings for the current month and just below that are total year-to-date earnings. This one screen, one view format allows the user to see an instant and clearer picture of two very important aspects of their music career time and money and hopefully a greater sense of how to make both work in their favor. Beyond this, access to most any of Gigoramas'™’ features can be gained by either double clicking or right mouse clicking on some point of the main interface.

What is Gigorama™ Virtual Network?

Gigorama™ Virtual Network, (multi-user edition) can best be described as a unique musician’s career enhancement software duo designed to communicate with each other within an isolated and proprietary network. Together they create a virtual network, giving musicians and bandleaders a central workstation with which to control and organize the daily aspects of running a music career. With Gigorama™ Virtual Network multi-user edition, musicians and band-leaders posses the unique ability to electronically deliver important gig related information in the form of a VN or (Virtual Network) file to fellow band-mates and other select musicians via our exclusive Virtual Network Reader software. The network or virtual network as we call it is created when a bandleader or musician using the Virtual Network software assigns an exclusive reader key code to each member of his band. This is done by selecting a musician’s name from the Musician/Contact database and clicking on the Reader Key button located at the bottom of the database screen. Once a band member has entered his or her personal reader key number into their personal copy of Virtual Network Reader they can begin receiving gig data from the bandleader, complete with their own individual and confidential earnings data. Band mates can obtain a copy of Gigorama™ Virtual Network Reader from the bandleader’s disc or download the free virtual network reader from the DOWNLOADS page..

The Virtual Network Reader companion
With the FREE Virtual Network Reader band mates can receive and view date, type of engagement, time, location, notes and individual, private earnings. This data can be transferred, saved and printed in the user’s favorite word processor.

The “User Information” screen [Your Personal unlock code goes here]
This screen tells Gigorama™ software a lot about the user. Much of this information helps Gigorama™ software to identify the user in order to calculate and display data accordingly.
The information collected in this box also helps Gigorama™ to manage communication conflicts between fellow band-mates and other Gigorama™ software users. The User Information box is pretty basic and straightforward.
*** IMPORTANT
-Both, the user name and unlock/registration code must match exactly or the unlock process will not occuer. They are both, [case] and [space] sensitive. (Type them just as you see them in the e-mail that we send out to you).

How to unlock and register your copy of Gigorama™
First access the "User Information" screen by selecting Menu/User Info. Enter your "user name" in the NAME field located in the upper left-hand corner of the User Information screen then enter your personal "registration/unlock code" in the REGISTRATION field located in the lower right-hand corner of the User Information screen and click on the SAVE button. Once you have entered the correct user name and unlock code the field will now read "REGISTERED". Click the CLOSE button to complete the process. Your user name will be displayed in the lower right-hand corner of the main calendar screen each time you launch Gigorama™.

STOP!!!
Do this BEFORE you book a gig with Gigorama™
We know you’re anxious to get started with Gigorama™ but first let’s address some preliminaries before moving ahead. Right out of the box Gigorama™ is going to want some basic information. So once the installation is complete enter all of your band member’s and other musicians whom you’re likley to work with names into the Musicians Database. You can access the Musicians Database by clicking “Databases” and selecting from the dropdown menu. You can also import clubs and venues at this time using the Gig Importer feature. Once this basic data has been entered, Gigorama™ can then use this information to help you easily book gigs and generate financial summaries for yourself and band members.

How to schedule a gig in 3 easy steps
Right off the bat many users will want to know how to book a gig before anything else. Here’s a down and dirty three-step process.

[1]. While on the main calendar screen double-click on the desired date to access the “Enter a New Gig” screen.

[2]. Starting in the upper left-hand corner of the screen, begin entering information pertaining to the scheduled date. Use the Tab key to navigate through the remaining fields.

[3]. When you’re finished click “Done”.
Gigorama™ will save your data and display the upcoming gig in green and red for past gigs. It’s that simple!

Getting around in Gigorama's™ calendar
Gigorama's™ calendar interface is quite easy to get around in. Advancing through the months is done by simply holding down the “Shift” key while pressing any of the arrow keys. The “Right” and “Up” arrow keys move you forward through the months while the “Left” and “Down” arrow keys move you backwards through the months. The simplicity of this navigation feature makes it especially easy to locate a date quickly during a phone conversation with a prospect or client.

Understanding the “Enter a new gig” screen
The beauty and simplicity of Gigorama™ is that you can start booking gigs right out of the box. Little in the way of instructions or coaching is needed to become proficient at booking gigs with Gigorama™ software.
The user, upon launching Gigorama™ is presented with a familiar calendar screen from which a gig date is to be selected and the details expounded on in an awaiting pop-up screen titled, “Enter a new gig“. This screen can be accessed by double clicking on any date of the main calendar screen. The design is pretty well straightforward.
This is where the user will do most of her work in Gigorama™. Rather than presenting the user with an additional screen We’ve divided the “Enter a new gig” screen into two distinct parts with contrasting colors to create an easy to follow visual cue. Let’s examine them.

Gigorama's™ auto-contract feature
During Gigorama's™ development we knew this was a feature that needed to be transparent to the user. In other words this process had to occur automatically, behind the scenes without the user ever being aware that a contract was being prepared.
First, select a date on the main calendar screen as you normally would. Using your mouse or the arrow keys move our guitar man, “Doc Blue” to the appropriate date then double click or press “Enter” which will activate the “Enter a gig” screen. Once you have input all of the gig data for the new gig press “OK”. You will notice that the “Enter a Gig” window closes and we are back at the main calendar screen with “Doc Blue” standing on the date that we just booked and the number is now green implying there is a new gig on this date. Now, with your mouse pointer positioned over the desired date simply right mouse-click and select “Print Contract”
The “Print Contract” command once selected will allow you to set the signing date in the contract’s header paragraph which reads, “THIS CONTRACT, for personal services of performer(s) on the engagement described below, made this __ day of ________, 200__ between the undersigned Purchaser of Group (herein called “CLIENT”) performer(s).

The Enter a Gig screen

Part One, General gig information screen

In the upper region of the “Enter a new gig” screen you can input data that is specific to a gig. This portion of the screen accepts type of engagement, start time, finish time, total time, fee amount, deposit, location address percentage and balance. Also in this portion of the screen location and contact information along with comments can be input and viewed. Once all of the gig data is collected it will then be routed a contract template. Once you choose print contract this data will be included in your final contract.

Part Two, The Musicians portion of this screen
Unlike the top portion of this unique screen, musicians can be selected from the drop down menu directly adjacent to the corresponding category. Clicking on the drop down menu will access the Musician’s database from which Gigorama™ will draw the musician’s name as related to one or more of the instrument categories listed in red letters. However, if you have a musician that does not fit in any of the pre-set Instrument categories you can customize categories one through eight. Complete instructions on how to customize instrument categories are listed below.

Customizing the instrument categories
These are the Instrument listing that are displayed in red on the lower portion of the “Enter a New Gig” screen. You can customize the first eight instrument categories in this version of Gigorama™. This is a feature that wasn’t included in the initial version. Gigorama™ has a total of ten pre-set instrument categories which include “Misc.” and “Other” with the two latter categories fixed, reserving these two for misc. or alternate personal i.e. a sound man, roadies, etc. Categories one through eight are exclusive to musicians that you have entered in your Musicians/Contacts database and have assigned primary and/or secondary instruments.

Here’s how it works
To customize any one of the pre-set instrument categories simply enter the new musician’s name and personal information into the Musician/Contacts database as you normally would. When you arrive at the Primary and Secondary instruments window, type the name of the new instrument and press the “Add” button. Gigorama's™ “Replace Displayed Instrument” message panel will open and read, “Name of new instrument is not currently displayed on the “Enter a Gig” screen, would you like to have it displayed there?” select “Yes”. Gigorama™ will then ask you to select the instrument that you wish to have the new instrument take the place of on the “Enter a Gig” screen. Highlight one of the instruments listed in the scrollable menu and click “Replace” and that’s it! The next time you access the “Enter a Gig” screen the new instrument category will be displayed in red letters in the lower half of the screen. From that point on, all musicians listed in the Musician/Contacts database, under that specific instrument category will be displayed in the “Enter a Gig” screen as you select musicians for upcoming gigs.

Customizing the Settings options
There are several settings that Gigorama™ let’s users control and adjust to their own personal liking. In the Settings box there are a total of eight perimeters under four different categories that are yours for the tweaking. They’re for you to change at will or whenever the need or urge hits you. They are as follows.

What you'll find in the Settings options

Databases, the heart and soul of Gigorama™
Gigorama™’S databases act as the central heart of your band’s business foundation as you continuously update data while building your own extensive resource and data pool from which Gigorama™ draws much of it’s intuitive functions. There are six primary databases. Let’s go through each of them in the order they appear in.

The Clubs/Venues database
The first in the line-up is Clubs and Venues. Here you will enter your list of clubs and venues that you may already have possibly in another database or a journal. Once transferred into Gigorama™ these listings will auto populate in the “Enter a new gig” screen as you schedule a new engagement.

Gigorama's™ Gig Import plug in
There’s another way to put data into the Clubs/Venues database. As a matter of fact, a LOT of data. This is done with a nifty little tool we call Gig Import Utility. Gigorama's™ Gig Import Utility will import hundreds and hundreds, (over twelve hundred to be more precise) of listings of clubs and venues and contact information directly into Gigorama's™ Clubs/Venues database. Gig Import Utility is a single form interface with a single button that clearly defines its function. It is in essence a separate program whose sole purpose is to unselfishly import data into Gigorama™.

Here’s how Gig Importer works!
To access the Gig Importer plug in select “Import clubs” from the help menu. When Gig Importer Utility launches it will automatically shut down Gigorama™ until you have completed the import process. From the dropdown menu select the city or geographic location from which you’d like to select the listings to be imported into Gigorama™’S Club/Venues database. Once you’ve highlighted your selection click on the IMPORT button. You will repeat this two-step process for each city or geographic location you wish to import. Gig Importer will deliver this data as a bulk import. This means that it will import the entire data string for each selection that you make from the dropdown menu, e.g. If selection CA (California) has three-hundred and eighty-five clubs and venue listings, every listing will be imported into Gigorama™’S Club/Venue database at that time. When you finish your selections exit Gig Import Utility. Gig Import Utility will then ask you would you like to run Gigorama™ now? Select YES and Gigorama™ will launch with the new clubs and venues database listings loaded and ready for use.

Booking a gig from within the Clubs/Venues database
Gigorama™ let’s you book a gig from within the clubs/venues database in just a few easy steps. I’m sure you’re asking yourself, “Now why in the world would I want to do that?” There may be several reasons. One in particular is that you may occasionally learn of a new club or venue that is not currently in your database and you’ve been hired to perform there on the upcoming weekend. This feature let’s Gigorama™ help you to keep track as you enter the new gig data into your database while also giving you the opportunity to book the gig during the process without interrupting your train of thought. Look at it as Gigorama™ letting you kill two birds with one stone.

Here’s how it works
First, open the Clubs and Venues database. You will notice a total of fourteen fields for all the data related to the club or venue at which a gig will take place. They are listed as follows in the order that they appear in the database window:

1. Business name
2. Website
3. Contact name
4. Title
5. Best time to call
6. Phone
7. Ext.
8. Fax / Alternate phone
9. E-mail address
10. Street address
11. City
12. State
13. Zip code
14. Comments / Notes

Now, let’s input a new entry or simply select an existing name from this database. Once you’ve done this you should now see the “Book gig” button located in the upper right-hand corner. Click on it with your mouse to access the “Select a date” screen. Inside this box you‘ll be asked to select the date to book the gig on. Here, you’ll enter the month and day you wish to book the gig on and click “Ok”. This will bring you to the “Enter a new gig screen“. Now you can book the gig just as you normally would.
Notice that the location region already contains the entry that you’ve either selected or just entered in the Clubs and Venues database. Select “Done” and that’s it. The new gig will be displayed on the calendar screen and the new entry will be added to your Clubs and Venues database at the same time. Cool huh?

The Musician’s / Contacts database
Over time your personal network is sure to exceed well beyond the general number of bands and individual musicians that you're likely to perform with from time to time as well as those from which her band is comprised. It is for this very reason that this particular database wares the duel title, “Musicians / Contacts”. Let’s take a look at the musician portion of this unique database. Apart from the obviously apparent aspects of the musician’s database there is a lot that goes on behind the scenes to help both the musician and Gigorama™ to communicate with other Gigorama™ users.
Gigorama™ will warn you in the event of duplicate musician’s names and ask you to make some type of change in spelling or case. The reason for this is a matter of security and data transfer scenarios.
As you can see, this portion of the database is made up of fourteen fields and a single list view window.

They are as follows:

1. Name
2. Street address
3. City
4. State
5. Zip code
6. E-mail address
7. Phone number 1
8. Phone number 2
9. Phone number 3
10. Social Security number
11. Number of dependents
12. Primary instrument
13. Secondary instrument
14. Comments

Adding a new entry to the Musician / Contacts database
To add a new musician or contact to the database click the “New” button. This will clear all fields, allowing you to enter new musician or contact data. Once you have completed all fields click on the Add button and the new name and information is added to database. Gigorama™ will confirm the addition with a display panel that reads, “(Name of entry) was successfully added to the database.”

Editing an entry in the Musician / Contacts database
To edit an entry in the Musician / Contact database, locate and highlight the entry that you wish to edit in the list/view window located at the bottom portion of the screen. This will display all pertinent data in their related fields. Proceed to edit the data in the corresponding fields. Click on the Save button located in the lower left-hand corner of the screen. Gigorama™ will then save the new date. However, if you change the instrument category to one that is not already displayed in red lettering on the “Enter a new gig” screen, see, “Customizing instrument categories in the Musician / Contacts database”

Deleting an entry from the Musician / Contacts database
To delete a musician or contact from the database, locate and highlight the name that you wish to delete in the list/view window in the bottom portion of the screen. This will display all pertinent data in their related fields. Click on the Delete button. Gigorama™ will them ask, “Are you sure you wish to delete (entry name)? Click “Yes” and Gigorama™ will confirm that, “(Entry name was successfully deleted.”

Tax time with Gigorama™
True, Gigorama™ is not an accounting or tax preparation software. But for bands and musicians this is how you will compile much of your earnings and expense data to present to your accountant or tax advisor.

How Gigorama™ views your financial records
Knowing just how much you’ve spent is just as important as knowing how much you’ve earned. Keeping a close eye on the inflow and outflow of money is a great help in controlling our own financial state of affairs. Earnings and expense activities for users and band members should be recorded regularly throughout the entire year.
Gigorama™ greatly simplifies the overall process of generating financial summaries for you and the entire band.
How much a user has paid a band member, additional expenses incurred while obtaining new band equipment or simply keeping track of earnings the user himself has earned are all tasks that Gigorama™ handles quite easily and with very little effort on the user’s part.

The Financial Summary database
The financial Summary database is where Gigorama™ calculates, displays and prints a financial summary for you and/or your band-mates. This particular database carries a heavy load in that it acts as the central vain or nerves system for Gigorama™. This database has the job of extracting data from several of Gigorama™’S key data bases, i.e. gig earnings, equipment list entries, pay outs to musicians, general expenses and a host of other calculations that are routed to this database in order to produce an accurate picture of the flow of money earned and spent by the user. The user can use this database for tax season or any time she needs to acquire financial stats for herself or a band-mate.

Here’s how to generate a financial summary with Gigorama™
We receive many e-mails regarding Gigorama™ and here’s one that addresses our current topic.
“I have booked gigs three and four months in advance, why don’t these show up in my total earnings column?”
Answer: Gigorama™ won’t show you what you haven’t yet earned. In order for you to see a more accurate, up to the minute earnings report Gigorama™ will only calculate and display the most current status of your earnings, not displaying speculated earnings.
If you’re really hard up to see every figure that you’ve pounded into Gigorama™, select “Financial Summary” and set the “From” and “To” time frame so that it encompasses the projected dates. This will allow Gigorama™ to calculate every dollar that has been input within the designated time span.

Expense tracking databases
Gigorama™ keeps a watchful eye on three types of outgoing expenses under three different categories. The first and most readily noticed by Gigorama™ users is the Musicians / Personal.

[Musicians / Personal]
The Musicians / Personal database, located on the bottom portion of the Enter a new gig screen records and tracks what you earn and pay out to band members and other musicians.

Expenses [general]
This database let’s you record up to eighteen general expense categories as related to day-to-day spending. General expense categories are listed below. You can access this database from three different points within Gigorama™. 1. Select Databases from the menu bar at the top of the screen and access the expenses database at the very bottom of the drop down menu. 2. Right mouse click as your mouse pointer is positioned over a particular date and select Expenses from the drop down menu. 3. While in the Enter a new gig screen click on the Expenses button located in the lower right hand corner of the screen.

NOTE: Your expense entry will apply to which ever date our guitar man (Doc Blue) is positioned on.

1. Bookkeeping/Taxes
2. Communication fees
3. Copyright fees
4. Equipment purchase
5. Food
6. Insurance
7. Legal fees
8. Lessons/training
9. Lodging
10. Marketing
11. Other
12. Rental fees
13. Software
14. Sound System
15. Studio time
16. Transportation
17. Union dues
18. Vehicle maintenance

Any entries in these categories can be routed to the Financial Summary database to reflect overall monthly or yearly spending.

Equipment list expenses
This database tracks and records all major equipment purchases along with the following information:

Item
Make
Model
Serial number
Purchase date
List price
Your cost
New
Used
Comments / notes.

The Equipment database gives the user an up to the minute assessment of the total calculated value or worth of equipment purchased to date. Any of these entries can be routed to the financial Summary database to reflect overall yearly or monthly spending. Another cool feature.

The Song / Set list database
With this all-in-one database you can build a song and set list with a few simple mouse clicks. Organizing and compiling song and set list data is a function that Gigorama™ performs quite well. The Song/Set List interface is pretty straightforward and relatively self-explanatory. But rather than leaving you to fend for your self with such an open-ended statement let’s take a closer look and see how it works.
You can gain access to this Database by clicking DATABASE, located just above the main calendar screen and selecting Song/Set List from the dropdown menu. Among all of Gigorama™’S databases the Song/Set List is in my opinion the least foreboding. With only four primary fields and six parameter buttons you will soon discover that building song and set lists are hassle free as we examine the more intricate aspects of this unique database.

Adding a new music category to the Song/Set list database
You can add a new song category by clicking on the New Category button. This will open the Music category screen. Here you will see a single field with a blinking cursor and a caption above it that reads, Enter a music category below ready for you to type the new song category.

Deleting a music category from the Song/Set list database
To delete a music category from the Song/Set list database, first highlight it’s listing in the Music category dropdown menu. After selecting the music category that you wish to delete click on the Delete category button. This will open a panel that reads, Are you sure you wish to delete the category? Click the Yes button and the category is deleted.

Adding a new song title to the Song/Set list database
To add a new song to this database click on the “New Song” button. This will clear all fields, allowing you to add a new song title. If this is the first song that you’ve entered in this database or one of its categories, for obvious reasons it won’t be necessary to clear fields before proceeding. From the music category dropdown menu select or add the appropriate music category that best describes the new song title you’re about to enter. Proceed by entering song title, author and key in their subsequent fields. Click on the Add song button and the new information will be added to the database.

Editing a new song title in the Song/Set list database
To edit a song title, first select it’s category from the Music category dropdown menu. This will reveal all of the song titles under that particular music category and display them in the Song list window just to the right of the four, square, numbered set buttons. In the Set list window locate and highlight the song title you wish to edit. This will reveal all of the song’s information in their corresponding fields. Proceed to edit the song title and related data as needed. Click the Save button in the lower left-hand corner of the screen. Gigorama™ will then save the new data and store it in its memory.

Deleting a song title from the Song/Set list database
To delete a song title, select it’s category from the Music category dropdown menu. This will reveal all of the song titles under that particular music category and display them in the Song list window just to the right of the four, square, numbered set buttons. In the Set list window locate and highlight the song title you wish to delete. Click the Delete Song button. The song title will be deleted from the database. Repeat this process as needed to delete more song titles.

How to build a song list
In the upper left-hand corner of the Song/Set list screen is a dropdown menu titled, Music Category. Clicking on the arrow just to the right of this field reveals its contents. There are a total of thirteen preset music categories from which to select. The user at any time can delete, add or alter any of these categories as needed. Use the following steps to build your song list.

Step One:
To begin building a song list first select or enter a new music category from the dropdown menu that best describes the song titles that you will enter.

Step Two:
Now that you have established a music category you may begin entering song titles in the fields just below the Music Category field. You will notice there are three fields representing song titles, author and key.
As a gigging musician you will find that some musicians may recognize a song by its author or the recording artist who made the song popular. In the event that you don’t know the actual author of the song you can list the artist instead. This is a great aid in identifying song titles that carry the same name. The third field is the key field. When ever possible be sure to include the keys to all of your song entries. Of all the information your band members will most likely need, singers included are the song keys. Always include them if you know them.

Step Three:
Once you have provided all of the necessary information for a song title, click on the Add Song button. This will store the new song listing into Gigorama™ Virtual Network’s memory. Now that the song has been added it will drop down into the SONG LIST window where it can be later accessed to build your set lists.

Step Four:
Repeat this process for each new song entry until you have entered your entire song repertoire.

How to build a set list
The set list plays an important role for bands and musicians acting somewhat like a road map navigating performers through a pre-defined set of songs.
Here’s how we build a set list with Gigorama™ Virtual Network. From the Song/Set List database drag a song title from the song list over to the Set List button that represents the set in which that song title will be added. The Set List buttons are numbered one through four to represent the order of sets.

A look at the Set List pallet
Gigorama™ Virtual Network’s Set List pallet is quite flexible. A cluster of four buttons act as a gateway to the Set List pallet whose function is to compose, organize and arrange individual song titles selected from the Song List database into a logical and organized Set list.
These four numbered blue buttons individually and collectively serve a dual purpose. One: As a means to access a set list pallet where the user can view and arrange the order of songs by dragging them to any desired set table within the set list pallet. Two: A palette upon which song titles can be dragged and dropped onto in order to compose set lists.

Viewing the set list
To view and edit your set list simply double click or right mouse click on any one of the blue set list buttons. The Set List pallet will open allowing you to view, edit or rearrange the order of songs in the list. With the Set List pallet open select FILE/OPEN to access any favorite sets you may have saved. You can also use this view mode to see song titles populate as you drag them over to the Set List pallet buttons. Both the Set list and the Song/Set list database can be positioned side by side on your monitor. Get in the habit of double clicking on any one of the Set list buttons before building your set list.

Rearranging the order of songs within a set list
To rearrange the order of songs within any one of the numbered set list tables simply drag it to the desired position within the sequence of songs. Songs can also be dragged to any point between any of the four set list tables. From within the Set List window the following options are available under the FILE menu.

The Equipment list database
Tracking equipment purchases is an important task for bands and musicians from the simple perspective that over time we will amass quite a collection of equipment and other music related items and not have a clear idea of the overall value or simply gauging our spending habits.

Booking a gig with Gigorama™
There are several ways to book a gig with Gigorama™.
First, select a gig date by positioning our guitar man, (Doc Blue) on the desired calendar date by simply pointing and double clicking on the calendar screen using the mouse, which will open the Enter a new gig screen. Once you’re in the “Enter a new gig” screen start inputting your data. Along the bottom of this screen select your band members or musicians. After entering your data click on the DONE button. Gigorama™ will display the newly input gig as a green number on the main calendar screen.

How to book a gig without using a mouse
This was a very important function that I insisted Gigorama™ must have for lap top users and for people like me who simply don’t want to bother with a mouse.
Using the arrow keys on your keyboard you can navigate your way around the calendar screen quite easily. After arriving on the date that you wish to enter a new gig press the ENTER key on your keyboard to access the “Enter a new gig” screen. You can then navigate through this screen using the TAB key. After you've input all of your gig data simply press the ENTER key on your keyboard and you're done.
You may want to make a couple of test runs with keyboard shortcuts to become more proficient at quickly navigating through Gigorama™.

Helpful web site links for musicians
When It’s time to quench your thrust for new music industry knowledge and know how, Gigorama's™ Cool Links will point you to a wide range of music industry websites on the information highway.
